# Booking software for spas and wellness studios

> Sesami is booking software for spas and wellness studios that runs on your own Shopify store. Guests book facials, massages, thermal sessions and day passes online, choosing the location and the therapist. A treatment can require a room and a therapist at once, and the visit is rung up with any retail it sells in a single order.

## What you can take bookings for

- Facials, massages and body treatments
- Couples treatments in a shared room
- Hammam, sauna and thermal circuit sessions
- Day passes and spa days, with a cap per session
- Consultations before a course of treatments

## Why spa bookings belong in the store, not beside it

Most spa software keeps the calendar in one system and the retail in another,
which is why the two never quite agree. The treatment is booked in a scheduler,
the moisturizer is sold on the shop floor, and at the end of the month somebody
reconciles them by hand.

Sesami puts the booking in the same place as everything else you sell. A
treatment is a service in your store with a price, a duration, a set of
resources and a checkout. It uses your payment methods, your taxes, your
discount codes and your gift cards, because it is going through the store you
already run.

## Rooms, therapists and equipment are all bookable

A spa is not one calendar. It is a set of rooms, a set of therapists and a
handful of pieces of equipment that a treatment needs at the same moment.

Sesami treats each of those as a resource. A hot stone massage can require a
therapist, a treatment room and a heater, and it is only offered when all three
are free. Two guests cannot claim the same room, and a therapist cannot be
double-booked across floors.

Guests can choose the therapist they want, or the spa can keep the choice to
itself and assign one. Both are settings, not workarounds.

## Turnaround time is part of the treatment

A sixty-minute facial does not take sixty minutes of room time. Each service
carries its own buffer, so the changeover is blocked out along with the
treatment and the next guest is never offered a slot that lands on a room being
reset.

## Pay now, take a deposit, or settle at the counter

Payment at booking is a choice you make per service, not a rule the software
imposes. A day spa that loses money on no-shows can take the full price up
front. A treatment that always turns into a longer consultation can be booked
with no payment at all and settled afterwards.

That last case is where a spa gains the most. The guest books in seconds with
nothing to pay, arrives, and the treatment, the upgrade they agreed to on the
bed, and the two products they leave with are rung up together in one sale.

## Retail attached to the treatment is the number that matters

Spas live on retail attach. A booking system that cannot see the till has no
opinion about it.

Because a Sesami booking is a line item in a real order, the products sold
alongside a treatment sit in the same order as the treatment. What a booking
earned is one figure, including everything the visit sold, rather than a
treatment total in one system and a retail total in another.

## Spa counters inside stores, hotels and resorts

A spa inside a department store has the same problem as a spa inside a hotel:
the booking has to belong to the site it happens at, but the business is run
across all of them.

Each location in Sesami keeps its own therapists, rooms, hours and calendar, and
the guest picks the site before the time. Head office sees all of them. Brands
running treatment counters inside large retailers use Sesami exactly this way.

## Reminders, check-in and the visit after this one

Sesami Flows sends the confirmation, the reminder before the appointment and the
follow-up afterwards, each triggered by the booking itself. Check a guest in
when they arrive and the follow-up only reaches the people who actually came,
which is the difference between a rebooking prompt and an insult.

If you run marketing in Klaviyo, every booking, reschedule and check-in lands
there as an event. Guests who booked a facial once and have not been back in
three months are a segment, not a spreadsheet.

## Questions

### Can a spa take bookings on its Shopify store?

Yes. Sesami adds booking to the store a spa already runs, so treatments are sold through the same checkout as retail, with the same payment methods, taxes, discount codes and gift cards. Nothing has to move to a separate booking site.

### Can guests choose their therapist?

Yes. Therapists are bookable resources, so a guest can pick the person they want and only sees the times when that person is free. A spa that would rather assign the therapist itself can leave the choice out.

### Can a treatment need both a room and a therapist?

Yes. A treatment can require several resources at once, and Sesami only offers a time when all of them are free. A hot stone massage that needs a therapist, a treatment room and a heater is only bookable when all three are open.

### Can we leave turnaround time between treatments?

Yes. Each service carries its own buffer, so the room comes out of the calendar for the changeover as well as the treatment. The next guest is never offered a time that would land on a room being reset.

### Do guests have to pay when they book?

No. Payment at booking is a choice per service. A spa can take the full price up front, take a deposit, or let the guest book with no payment and settle everything at the counter afterwards.

### Can we sell products in the same order as the treatment?

Yes, and this is the point for most spas. A booking behaves like any other line item, so the treatment and the skincare a guest takes home are rung up in one sale through Shopify POS, and the revenue is attributed to the booking that brought them in.

### Does Sesami work for a spa inside a hotel or a department store?

Yes. Each location has its own calendar, therapists, rooms and opening hours, and the guest picks the site before they pick a time. Sesami runs spa counters inside department stores as well as standalone spas.

### Can guests book a couples treatment or a group session?

Yes. A session can carry a capacity, so a thermal circuit for twelve stops selling at twelve, and a couples room can be booked as one appointment for two people.
